FAQ

Common questions

What is the difference between a relieving letter and an experience letter?

A relieving letter is addressed to the employee and confirms that their resignation was accepted and that they were released from duties on a given date with no outstanding obligations. An experience letter is addressed to whom it may concern and certifies the period of employment and the designation held. The first proves the person left properly; the second proves where they worked and as what.

Is an employer legally required to issue these letters in India?

There is no single central statute that compels every employer to issue a relieving or experience letter, but several state Shops and Establishments rules and standing orders provide for a service certificate on request, and withholding one is a frequent subject of labour complaints. Treat issuing them as standard practice and take professional advice on the rules in your state. This is general information, not legal advice.

Can the company hold back the relieving letter until dues are recovered?

A short delay while the full and final settlement is finalised or assets are returned is common. Holding the letter indefinitely is not advisable: the settlement has its own timeline, asset recovery has its own process, and a notice shortfall is handled by recovery from the settlement, not by withholding proof of employment. The template lets you state that the settlement is pending instead.

Should the experience letter mention performance or the reason for leaving?

Keep it factual. State the reason only as resignation or completion of contract, and limit any conduct remark to the neutral sentence that conduct and performance were found satisfactory, or leave it out. A glowing letter sets up expectations you may have to defend; a critical one invites a dispute.

What should a salary certificate contain?

The employee's name and ID, designation, date of joining, the monthly earnings by component, the deductions and the net pay, optionally the annual CTC, the purpose for which it was requested, and a line that it is a statement of salary paid and not a guarantee by the company. Date, signature and designation of the signatory complete it.

Where does my data go?

Nowhere. The letter is assembled in your browser from what you type; nothing is sent to ZekoHR or anyone else, and there is no account or email gate. The PDF comes from your browser's own print dialog.
