Add-ons and changing plan
Once a subscription is active you can change it yourself: move to another plan, or add individual modules and extras as add-ons. Every change shows a cost preview before you can confirm, so the screen and the invoice agree.
Who can do this: `settings.manage` to see the page; only the account owner sees Change plan, Add and Cancel add-on, and only while the status is Active and the organisation is not billing-exempt. On a trial these controls are hidden; convert first (see Plans and trial).
Where to find it
Administration → Settings → Other → Billing, URL `/settings/billing`, Overview tab: Change plan on the plan card, and the Add-ons card below.

Changing plan
- Click Change plan. The dialog explains the rule: "Upgrades apply immediately and are charged pro-rata for the rest of this cycle. Downgrades take effect at the end of the period you have already paid for."
- Pick a plan. Your current plan is marked Current and disabled; a plan that cannot hold your seat count is disabled with the reason. Prices are for your current seats, before GST, in your existing cycle (monthly or annual stays as it is).
- Wait for Working out the cost… to become the preview: plain-English lines about what changes and what you lose, Pay today with Includes GST, Change from next cycle (before GST) and, for a downgrade, Takes effect with the period end date.
- Click Confirm upgrade or Schedule downgrade.

| Direction | Effective | Charge | Reversible |
|---|---|---|---|
| Upgrade | Immediately; new modules are live at once | Pro-rated difference for the rest of the cycle, charged today | No; downgrade later |
| Downgrade | At the end of the current period | Nothing today; the lower recurring price from renewal | Yes; Cancel downgrade on the banner until it happens |
A scheduled downgrade shows a banner: "Scheduled: your plan changes to {plan} on {date}. Until then you keep everything you have paid for." Modules that the lower plan lacks disappear from the sidebar on that date; their data is kept.
Add-ons
Add-ons extend the current plan without moving tier. The catalog:
| Add-on | Pricing mode | What it does |
|---|---|---|
| Payroll (per activated user) | Per activated user per month | Payroll and payslips plus tax declarations |
| Expenses (per activated user) | Per activated user per month | Expense claims |
| Employee social feed | Flat per month | The Feed, kudos, announcements and polls |
| Grievances & whistleblower | Flat per month | Raise a concern, public intake link and the HR case tracker |
| Webhooks & API access | Flat per month | Activated for you by the ZekoHR team after purchase |
| Google Workspace SSO | Flat per month | Activated for you by the ZekoHR team after purchase |
| Extra storage (50 GB) | Flat per month | Adds 50 GB of document storage |
| Priority support | Flat per month | Priority support tier |
Annual add-on prices are ten times monthly. Add-ons whose module is already in your plan are not offered.
Buying
- Under Available add-ons click Add on the one you want.
- The Add this add-on? dialog loads the preview ("Review the cost before you confirm"): pro-rated Pay today for the rest of this cycle and the Change from next cycle.
- Click Add to my subscription. The module is live immediately: "The {name} add-on is active now."
Cancelling
- On an active add-on click Cancel add-on.
- The Cancel this add-on? preview shows Pay today as zero and the reduction from next cycle.
- Click Cancel from next cycle. The add-on keeps working until the period ends, then does not renew; the card shows "Ends on {date} (no credit for the current cycle)."
What happens next
- Upgrades and add-on purchases raise a pro-rated invoice today; it appears under Invoices and is emailed to the billing contact.
- Sidebar entries for new modules appear as soon as the dialog closes.
- The change is written to your audit log.
- Downgrades and add-on cancellations send nothing today; the next renewal invoice reflects them.
Rules and limits
- Retrying a click after a network error cannot charge twice.
- Cancelling an add-on or downgrading never issues a credit for the unused part of the cycle; that is the standard proration policy stated in the dialog.
- The confirm button appears only after the priced preview loads; if the preview fails, nothing has changed and you can retry.
- Self-serve changes are refused while the account is past due, in grace, paused or suspended; settle the payment first.
- A plan change keeps your billing cycle; to switch monthly to annual, talk to [email protected].
Troubleshooting
Change plan is not shown. Status is not Active, you are not the account owner, or the organisation is billing-exempt.
I bought Webhooks & API access and see nothing new. It is activated for you by the ZekoHR team; ask them at [email protected] if you have not heard back.
I scheduled a downgrade by mistake. Click Cancel downgrade on the yellow banner; "Nothing changes at renewal."
