Theme, language and search

Getting started Applies to: Everyone

Three small controls shape every screen: the theme toggle in the top bar, the display language under Settings, and the people search box. The theme follows you across devices because it is stored on your profile; the search respects the same permissions as the employee list.

Who can do this: Everyone. Theme and language save through `profile.update.self`. Search results are scoped by `employees.view.any`, `employees.view.assigned_companies`, `employees.view.own_company` or `employees.view.self`.

Where to find it

Theme: the sun or moon icon in the top bar. Language: Settings → Language (`/settings/general`). Search: Search people… in the top bar, or the magnifier icon on a phone.

Choosing a theme

  1. Press the theme icon. It shows a sun in light mode and a moon in dark mode.
  2. Pick Light, Dark or System. A tick marks the current choice.

System follows your operating system and switches live when the OS does. The choice is written to this browser immediately and saved to your profile in the background, so the next device you sign in on uses it too. Before you sign in, the browser's last choice (or the OS setting) applies so the first paint matches.

Your organisation's brand colour, set by an Admin under Settings → Branding, applies in both modes.

Choosing a language

  1. Open Settings and press the Language tab.
  2. Choose from Display language and press Save language.
  3. Reload the page to see the change.

Only English is available today. The dropdown also lists Arabic, French and Spanish, but saving any of them shows an error and nothing changes. Dates and numbers follow the browser's locale for the language in use.

Searching for people

  1. Click Search people… and start typing. Results appear after a short pause, matching the name or email as a substring, case-insensitive.
  2. Each result shows the name and email. Use the arrow keys to move, Enter to open, Escape to close. Clicking a result opens that person's employee page at `/employees/{id}`.
  3. On a phone, tap the magnifier icon; the same search opens in a panel titled Search employees.

Up to 20 results are returned. The dropdown reads No matches. when nothing fits.

Who you can find

Your permissionResults
`employees.view.any` (Admin)Everyone in the organisation
`employees.view.assigned_companies` (HR Manager with HR scope)People in your assigned companies
`employees.view.own_company` (Manager, HR in one company)Your own company
`employees.view.self` only (Employee)Only yourself

Agency back-office contacts who have no active engagement are not listed. For a broader lookup with department and designation filters that every employee can use, open Directory; it uses `directory.view` rather than the employee permissions.

What happens next

Nothing is recorded when you search. Theme and language changes are plain profile updates with no notification.

Rules and limits

  • Theme is one of Light, Dark or System.
  • Language is stored on your profile; HR cannot set it for you.
  • Search queries are capped at 120 characters and 20 results; narrow the term rather than scroll.
  • The search box opens an employee record, so plain employees who search see themselves only. Use Directory to look up colleagues.
  • The white-label product name and logo replace ZekoHR's in the top bar for white-label organisations; the controls are the same.

Troubleshooting

Dark mode keeps turning off. Another device set the profile back to light or system; the profile wins over the browser. Pick Dark again and it saves for all devices.

The page is half dark after switching. A component loaded before the switch. Reload.

Save language fails. You chose a language other than English. Only English is available.

Search finds nobody I know. Your role limits results to yourself or your company. Open Directory instead.
