Birthdays, anniversaries and new joiners

Social and recognition Applies to: All roles

ZekoHR celebrates people automatically. Each morning a system post appears on the feed for anyone whose birthday, work anniversary or joining date falls that day, and the dashboard shows the celebrations coming up this week so nobody is missed. HR can send a greeting email from the dashboard with one click.

Who can do this: Everyone with `social.view` sees celebration posts; the dashboard widget is visible to every employee. The Send a greeting button needs `celebrations.greet` (HR Manager and Admin). The feed part of this depends on the Social module being enabled on your plan; Admins can check Settings → Billing.

Where to find it

  • Feed in the sidebar, URL `/feed`: celebration posts, authored by System.
  • Dashboard, URL `/`: the Celebrations this week card.

What gets posted to the feed

Every day at 06:00 server time ZekoHR creates one post per occasion:

OccasionTriggerPost text
New joinerJoining date is todayA welcome post asking the team to greet Name
Work anniversaryJoining date's month and day match today, one or more years laterA congratulations post marking N year(s) for Name
BirthdayDate of birth's month and day match todayA happy birthday post for Name

Only Active employees are included. If the daily run happens twice in a day it does not duplicate a post. Celebration posts have no author (they display as System), cannot be edited, and take reactions and comments like any other post, so colleagues can wish the person well in the thread. They are stamped with the person's company, so in per-company feed mode only that company sees them; in organisation-wide mode everyone does.

The dashboard card

Celebrations this week groups upcoming dates:

SectionWindow
Today's birthdaysBirthdays falling today
This week's birthdaysBirthdays in the next 7 days
Upcoming work anniversariesAnniversaries in the next 30 days, with the year count
New joinersJoining dates within the next 7 days

Each row shows the person's name, the occasion, and Today, Tomorrow, a weekday name, or a date. The card only lists people in your own company and disappears entirely when nothing is due.

Sending a greeting (HR and Admin)

  1. On the dashboard card, click the paper-plane Send a greeting icon beside a person. The icon is hidden on your own row.
  2. ZekoHR emails the person a branded greeting using the celebration.greeting template, naming the occasion (for example "your 5-year work anniversary") and you as the sender.
  3. The button greys out. A second greeting to the same person on the same day is refused with "A greeting has already been sent to this person today."

What happens next

  • Celebration posts appear in the feed under All; they are not kudos and do not affect the Recognition leaderboard.
  • A sent greeting is recorded in the audit log as `celebration.greeting_sent` against the employee, which is also how the one-per-day guard is enforced.
  • No notification is sent for the automatic feed posts themselves.

Rules and limits

  • The daily posts read Joining date and Date of birth from the employee record. Missing dates mean no post and no dashboard entry; employees can request a correction through My record.
  • Greeting emails can be customised under Administration → Settings → Email templates (variables: user name, occasion, sender name, organisation name).
  • The dashboard card and the feed posts are independent: the card is computed live from employee records, the posts are created once a day.

Troubleshooting

My birthday was not posted. Your date of birth is empty or wrong on your record, or your status is not Active.

Someone's anniversary shows the wrong number of years. The joining date on their record is wrong. HR can correct it on the employee profile.

I see celebrations for people in other companies on the feed but not on the dashboard. Expected: the feed may be organisation-wide while the dashboard card is always limited to your company.

The Send a greeting icon is missing. You are not an HR Manager or Admin, or the row is your own.
