My agency
A Contractor signs in like an employee and lands on a slimmer home page: their engagements, upcoming holidays and quick actions for the modules the organisation has switched on. An agency admin additionally gets My agency, which lists the agency's people, engagements and worker requests and, when HR allows it, a Propose a worker button.
Who can do this: Anyone with the Contractor role sees the Contractor home. My agency needs `contractors.view.own_party`; proposing and withdrawing workers needs `contractor_workers.request.own_party`. Both come with the Contractor Agency Admin role.
Where to find it
Dashboard (`/`) for the Contractor home. People → My agency, at `/my-agency`, for agency admins. Quick actions on the home page also link to My agency.
The Contractor home
| Section | What it shows |
|---|---|
| Hero | Your name with a Contractor badge and the party's legal name. |
| Your engagements | Active and draft engagements with company, manager, end date (or open-ended) and rate, with a Past end date warning where relevant; a count of past engagements. |
| Upcoming holidays | Company holidays, when the Holiday calendar is switched on for Contractors. |
| Quick actions | Only modules you have: Feed, Directory, My documents, My assets, Attendance, Holiday calendar, Policies, My letters, Expense claims, Raise a concern, My agency. |
Payroll, leave administration, people management and settings are never available to Contractors. Leave appears only when your engagement's leave mode is Same as employees.
My agency
The page is headed with the agency's display name, type chip and GSTIN.
| Section | What it shows |
|---|---|
| People | Every person on the agency with email and role (Agency admin, Agency worker). |
| Engagements | Each placement: title, worker, company, status, dates, rate. Read-only; HR edits them. |
| Worker requests | Proposals with their status and HR's reason when rejected. |
Proposing a worker
- Click Propose a worker (shown only when HR has enabled proposals for your agency).
- Person: First name and Work email (required), Last name, Phone, Designation.
- Engagement title (required), Company (shown only if you may list companies; otherwise HR picks it), Start date (required), End date (optional, not before the start), Rate type, Rate (required, more than zero) and Currency.
- Click Send to HR. The request shows as Pending; Withdraw deletes it while it is still pending.
Statuses
| Request status | Meaning | What happens next |
|---|---|---|
| Pending | HR has not decided. | Wait, or withdraw. |
| Approved | The worker has an account and an engagement. | They get an invitation email. |
| Rejected | HR declined. | Read the reason; propose again if appropriate. |
What happens next
A proposal notifies HR who approve Contractors for the proposed company. When HR decides, every admin of the agency gets `contractor.worker_approved` or `contractor.worker_rejected`. Nothing is created and no seat is used until approval. HR may adjust the engagement terms before approving.
Rules and limits
- An email already in use, or already in a pending request for your agency, is refused.
- Proposals are possible only while Agency admins can propose workers is on for the agency; otherwise the page says to ask HR.
- You see only your own agency; another party's data is never visible.
- You cannot edit engagements, people or the agency's details; HR does that.
Troubleshooting
My agency says "You're not linked to an agency". Your account is not attached to a party as an admin. Ask HR to add you to the agency.
Propose a worker is missing. HR has not enabled proposals for your agency.
Send to HR fails on the email. Someone with that email already has an account, or a request is already pending.
A module I expected is missing from quick actions. The organisation switched it off for Contractors under Contractor access.
